HVAC quote software for diagnostics, tune-ups and thermostat work
Most HVAC calls are answered with "we'll have to come look at it," which is true for a system replacement and unnecessary for a no-cool diagnostic. Quick Quote Gen publishes your call-out fee, service-type labour and system multipliers as a calculator, so a homeowner picking "AC not cooling, central air, 2.5–3 ton, same day" sees an estimated range immediately — while replacement consultations, R-22 systems and anything with a burning smell are handed to you for review instead of priced.
What this trade loses today
- Peak-season phone lines fill up with price questions the office cannot answer without a tech.
- Diagnostic call-out fees get discounted on the phone because nobody wants to lose the call.
- Multi-system homes and larger tonnage get quoted at single-system rates.
- After-hours and same-day requests arrive without the urgency premium attached.
We already know what changes the price in this trade
These are the questions QuickQuoteGen asks your customer. Every one maps to a pricing rule you control, so the estimate reflects how you actually charge.
What they need
Diagnostic, tune-up, thermostat install, duct inspection, low refrigerant or a replacement consultation.
System type
Central AC, heat pump, furnace or ductless mini-split, each with its own labour multiplier.
System size and count
Tonnage band and how many systems need service; commercial-sized equipment goes to review.
What is happening
Not cooling, not heating, weak airflow, noise or a water leak around the unit.
Refrigerant type
R-410A prices normally; R-22 is flagged for review because the refrigerant cost is not predictable.
Access and urgency
Attic, roof or crawl-space access plus same-day or after-hours windows apply your own adders.
A worked example
Sample pricing only: no-cool diagnostic on a 2.5–3 ton central AC in a house, standard attic access, same-day visit.
- Diagnostic call-out
- $89
- Diagnostic labour (~1 hr)
- $110
- System size factor (2.5–3 ton)
- $20
- Same-day window
- $45
Estimated range
$264 – $392
Final price confirmed after review
Sample pricing for illustration only. Estimated ranges are not a binding quote: every range is built from the rates you set and is confirmed before work is booked.
Jobs we deliberately do not price instantly
The calculator only returns a range where a range is honest. These requests still capture the lead — the customer is told it will be quoted after a review or a site visit.
- System replacement consultations — load, ducting and equipment choice need an on-site assessment.
- Commercial-sized or multiple-unit equipment (5+ ton).
- R-22 / Freon systems, where refrigerant availability and cost decide the job.
- Breaker tripping, burning smells or anything reading as an electrical fault — safety review first.
After the estimate
- Every request arrives with system type, tonnage, symptom and access already recorded, so the truck is stocked before it leaves.
- Replacement enquiries land as review-flagged leads with the homeowner's own notes and photos attached, ready for a sales appointment.
- Maintenance customers can be re-quoted from the same template each season instead of starting over.
Customers who can't describe the job can send a photo instead.
Questions owners ask
- Will this quote a full system replacement?
- No, deliberately. Replacement is marked for manual review in the template: the customer gets a clear "we'll assess this on site" message and you get the lead with their answers attached.
- Does it replace our field-service software?
- No. It is the quoting and lead-capture layer in front of whatever you already use for dispatch, invoicing and service history.
- Can I keep my diagnostic fee confidential?
- You choose what is published. Some contractors show the call-out fee and the range; others publish only the range and keep the fee breakdown internal.
- What if the homeowner does not know their system?
- Every equipment question has an "other / not sure" answer with a conservative multiplier, and they can attach a photo of the nameplate instead.
