How to Choose Plumbing Software for a Small Business
Do not start from a list of products. Start by scoring nine capability areas against your own business, decide which two or three are actually costing you money, and then evaluate tools by running one real job end to end. Confirm pricing and features on the vendor's own pricing page at the time you buy, because both change.

Capability areas and what to ask about each
Score, then cut
Rate each area 1-5 for how much it currently costs you. Only the top three matter for this purchase. Buying for all nine at once is how small companies end up paying for a platform they use ten percent of.
The test-one-real-job evaluation
Demos are designed to succeed. A real job is not. Take one ordinary job — a water heater replacement is a good candidate because it touches quoting, parts, scheduling and payment — and run it end to end in the trial.
Run this checklist on one real job
- Enter the lead the way it actually arrived (phone, website, referral)
- Produce the estimate you would really send, with your real inclusions and exclusions
- Send it to yourself and read it as the customer would
- Schedule it, then move it to a different day
- Add a part you did not plan for, mid-job
- Complete the job and invoice from the field, on your phone
- Take a payment, or at least walk to the point just before charging
- Find the record again a week later using only the address
- Export or sync it to wherever your bookkeeping lives
- Count how many times you had to leave the app to finish the job
Do not test with real customer charges
Use the vendor's test or sandbox mode for any payment step. Never rehearse a workflow that sends messages or charges cards on a live customer.
Checking pricing without getting burned
- Read the vendor's own pricing page on the day you decide — plans, tiers and included user counts change.
- Check the per-user cost at the team size you will be next year, not today.
- Ask specifically about payment processing rates, SMS costs and onboarding fees, which are frequently separate from the subscription.
- Ask what happens to your data if you leave, and get the export format in writing.
- Confirm contract length before the discount is applied — annual commitments are common.
